Every networked copier and multifunction printer built in the last two decades contains a hard drive or flash storage, quietly caching scans, prints, and faxes. If sensitive documents have ever crossed the glass, that drive is a data-bearing asset.

The classic failure: the lease ends, the truck arrives, and the unit disappears into a refurbishment chain nobody can audit — with years of cached documents on board. There's no breach to report, and no way to prove there wasn't one.

The fix costs nothing if you do it early: negotiate a data clause into the lease — drive retention or certified sanitization at return — and make drive handling a step in your equipment-return process.
